Job Description

ProspectBlue is partnering with a mission-driven organization in search of an Executive Assistant to support its leadership team and internal staff. This is a great opportunity for a highly organized, hands-on professional who enjoys keeping things running smoothly, supporting a team, and making a meaningful impact through their work.

The Executive Assistant will provide administrative support to four members of the executive team while assisting with a variety of day-to-day operational needs. This role is ideal for someone who is adaptable, resourceful, and comfortable balancing multiple priorities in a fast-paced environment. Beyond traditional executive support, this individual will be a go-to resource for the team, stepping in wherever needed to help keep things organized and moving forward.

Responsibilities:

  • Manage calendars, coordinate schedules, and arrange meetings for four executive team members.
  • Assist with meeting coordination, scheduling changes, and other administrative needs to help executives stay organized and focused.
  • Provide general administrative support to internal staff and assist with day-to-day office operations.
  • Maintain and organize information, files, and documents within SharePoint.
  • Use Microsoft Excel to maintain spreadsheets, track information, and support reporting and data entry needs.
  • Assist with entering data, organizing financial documents, and completing other administrative tasks related to financial operations.
  • Coordinate office supply orders and help ensure general office needs are addressed.
  • Assist with social media tasks, special projects, and other miscellaneous assignments as needed.
  • Identify opportunities to improve organization, streamline administrative processes, and support team efficiency.
  • Pitch in on additional tasks and projects as priorities shift, maintaining a flexible and solutions-oriented approach.

Qualifications:

  • Previous experience as an Executive Assistant, Administrative Assistant, Office Coordinator, or in a similar administrative support role.
  • Demonstrated experience managing calendars and coordinating schedules for multiple executives or senior leaders.
  • Experience with SharePoint is required.
  • Strong Microsoft Excel skills are required.
  • Excellent organizational skills and strong attention to detail.
  • Ability to manage multiple priorities, adapt to changing needs, and meet deadlines.
  • Strong communication and interpersonal skills, with a professional and helpful approach.
  • A proactive, hands-on mindset and willingness to take initiative without needing constant direction.
  • Resourceful problem-solving skills and the ability to work independently while collaborating with a team.
  • A team-oriented attitude and willingness to take on a wide variety of responsibilities.

The Ideal Candidate:

The ideal candidate is someone who enjoys being the person others can count on. They are organized, flexible, and comfortable moving between executive scheduling, administrative projects, data entry, and general office support throughout the day. They take initiative, anticipate needs, and are always willing to roll up their sleeves to help the team succeed.

For someone who enjoys variety, values teamwork, and wants to contribute to an organization with a meaningful mission, this is an opportunity to make a difference behind the scenes every day.
